- What we collect: what you give us to place and deliver an order (names, addresses, email, order details), messages you send us, and basic technical data from your browser.
- Why: to make and ship your order, keep you informed, answer questions, prevent fraud and keep the site working.
- We never sell your personal information and we do not share it for cross-context behavioural advertising.
- Your choices: you can ask to see, correct, export or delete your information by emailing us. We reply within 1 business day and complete requests within the time the law requires.
This Privacy Policy explains how Kin Folk Tee collects, uses, shares and protects personal information when you visit kinfolktee.com, create an account, place an order or contact us. A family business site handles some very personal details: your address, the names of the people you are buying for, sometimes the date of a birthday or a reunion. We take that seriously, and we have written this policy in plain language so you can see exactly what happens to your information.
By using the site you acknowledge the practices described here. If you do not agree with them, please do not use the site. If you have questions, email us at any time.
1. Information we collect
1.1 Information you give us
- Order details: your name, billing address, shipping address, email address and, if you provide it, a phone number. When you ship a gift, this includes the recipient’s name and address.
- Account details: if you create an account, your login email, a password (stored in hashed form, which we cannot read) and your saved addresses and order history.
- Order contents: the products, sizes, colours and quantities you chose, and any order notes you write.
- Messages: anything you send to support@kinfolktee.com or through the Submit a Ticket page, including photos of a damaged item or a size label.
- Reviews: if product reviews are enabled and you leave one, the review text, rating and the name you choose to display.
Please only give us information about other people, such as a gift recipient, when you have a reason to believe they would be comfortable with it, for example because you are sending them a present.
1.2 Information collected automatically
- Technical data: IP address, browser type, device type, operating system, language, and the pages you request. Our web server and our content delivery and security provider record this in short-lived logs to deliver pages and block attacks.
- Cart and session data: WooCommerce, the shop software we use, sets cookies that remember your cart and keep you logged in.
- Order attribution: WooCommerce can record how a visitor arrived at the store (for example from a search engine or by typing the address) and attach this to an order, so we understand which channels bring customers. This uses first-party cookies and stays within our store.
We do not currently use third-party analytics or advertising tracking tools on kinfolktee.com. If we add any in the future, we will update this policy before they go live and, where required, ask for your consent first.
1.3 Information from third parties
- Payment providers: when payment processing is connected, the provider that handles your payment tells us whether it succeeded, along with limited details such as the last four digits of a card or a payment reference. We never receive or store full card numbers.
- Carriers: delivery status updates and tracking events for your parcel.
- Print and fulfilment partners: confirmation that an item was printed, packed and handed to the carrier.
2. How we use your information
| Purpose | Information used | Reason |
|---|---|---|
| Make, ship and deliver your order | Order, contact and address details | To perform our contract with you |
| Send order, shipping and refund emails | Email, order details | To perform our contract with you |
| Answer questions and handle returns | Messages, photos, order details | To perform our contract; legitimate interest in good service |
| Prevent fraud and protect the site | Technical data, order and payment status | Legitimate interest; legal obligation |
| Keep accounting and tax records | Order and payment records | Legal obligation |
| Improve the store | Aggregated order and page data | Legitimate interest |
| Marketing emails (only if you opt in) | Email address | Your consent, which you can withdraw at any time |
We do not make decisions about you based solely on automated processing that have legal or similarly significant effects. Payment providers may run their own automated fraud checks on transactions under their own policies.
3. How we share information
We share personal information only with the service providers who help us run the store, and only what each one needs to do its job:
- Print and fulfilment partners receive the items ordered and the shipping name and address, so they can print and ship your order.
- Shipping carriers receive the recipient’s name, address and, where needed for delivery or customs, an email or phone number and a description of the contents.
- Payment providers, once connected, receive the payment information you enter on their secure form.
- Hosting, content delivery and security providers process technical data to serve the site and protect it from abuse.
- Email delivery services send our order and support emails.
- Professional advisers and authorities when the law requires it, or to protect our rights, our customers or the public, for example in a fraud investigation.
- A buyer of the business, if Kin Folk Tee is ever sold or merged, under the same privacy protections.
We do not sell personal information, and we do not share it for cross-context behavioural advertising. We do not rent or trade mailing lists.
4. Cookies and similar technologies
Cookies are small text files stored by your browser. We use them for the store to work, not to follow you around the internet.
| Type | Example | Why | How long |
|---|---|---|---|
| Essential: cart and session | woocommerce_cart_hash, wp_woocommerce_session_* | Remember your cart and checkout | Session up to 2 days |
| Essential: login | wordpress_logged_in_* | Keep you logged in to your account | Session or up to 14 days if you choose “remember me” |
| Security | Content delivery and security cookies | Tell genuine visitors from bots | Short-lived |
| Order attribution | sbjs_* (first-party) | Record how you arrived at the store for the order | Session up to about 6 months |
You can block or delete cookies in your browser settings. If you block essential cookies, the cart and checkout will not work properly.
5. How long we keep information
- Orders and invoices: as long as tax and accounting rules require, typically up to 7 years.
- Customer accounts: until you ask us to delete the account, or after a long period of inactivity.
- Support emails and ticket photos: up to 3 years after the conversation ends, so we can help if a question comes back.
- Server and security logs: short periods, usually days to weeks.
When information is no longer needed, we delete it or make it anonymous.
6. How we protect information
The whole site is served over HTTPS, so information moving between your browser and our server is encrypted. Passwords are stored as hashes. Access to order data is limited to the people and providers who need it. Payment details are entered on the payment provider’s secure systems rather than stored by us. No system is perfectly secure, so please use a strong, unique password for your account and tell us straight away if you think it has been misused.
7. Your rights and choices
Depending on where you live, you may have the right to:
- know what personal information we hold about you and get a copy;
- correct information that is wrong or incomplete;
- delete your information, subject to records we must keep by law;
- receive your information in a portable format;
- object to or restrict certain uses, and withdraw consent for marketing at any time;
- opt out of the sale or sharing of personal information (we do neither);
- not be treated differently for using these rights.
To make a request, email support@kinfolktee.com from the email address linked to your orders. We may ask for details to confirm your identity, such as an order number and shipping postcode, before releasing or deleting anything. You can also authorise someone to make a request for you; we will ask for proof of that permission. If you are not satisfied with our answer, you may contact your local data protection authority.
Residents of particular places
US state privacy laws, Canada’s PIPEDA, Australia’s Privacy Act and New Zealand’s Privacy Act give residents rights similar to those above. We apply the same process to everyone, wherever they live, so you do not need to know which law applies to ask.
8. Marketing emails
We only send marketing emails if you have opted in. Every marketing email has an unsubscribe link, and you can also reply asking us to stop. Order, shipping and refund emails are not marketing; they are part of your purchase and are sent even if you unsubscribe.
9. Children’s privacy
We make clothes and gifts that families buy for children, but the site is meant for adults. We do not knowingly collect personal information from children under 13 (or the age set by local law). Parents and guardians should place orders. If you believe a child has given us personal information, email us and we will delete it.
10. International visitors
We are based in the United States, and our providers may process information in the United States and other countries. If you order from Canada, Australia or New Zealand, your information is transferred to the United States to fulfil your order. We use providers that offer appropriate safeguards for these transfers.
11. Information about gift recipients and family members
Family shopping means you often tell us about other people: Grandma’s address for a birthday parcel, a list of names and sizes for a reunion order, or a note that a shirt is for a new big brother. We use that information only to make and deliver the order and to handle any exchange. We do not contact gift recipients for marketing, we do not add them to any mailing list, and we do not build profiles of the people you buy for. If a recipient contacts us about an exchange, we confirm the order with details they would reasonably know, such as the shipping address, before discussing it, and we do not reveal the price paid or the buyer’s payment details. Recipients can ask us to delete their delivery details once the order is complete, subject to the records we must keep for tax and accounting.
12. Links to other websites
Our pages may link to carrier tracking sites, payment providers or other websites. Those sites have their own privacy practices, which we do not control. Please read their policies before giving them information.
13. Changes to this policy
If we change how we handle personal information, we will update this page and the “Last updated” date at the top. Important changes will be highlighted on the site or sent by email to account holders before they take effect.
